What a property manager actually runs

A commercial property manager operates a small business on the owner's behalf: income (collections, recoveries), expenses (contracts, utilities, repairs), the physical plant (systems, inspections), tenants (service, renewals) and reporting (owner statements, budgets). The job is coordination under a fiduciary duty — every dollar and decision is someone else's asset.

The operating rhythm is monthly: bill rents and estimated recoveries, chase arrears, approve invoices against the budget, walk the property, close the books, explain variances. Layered on that are annual cycles (budgets, CAM reconciliation, insurance renewal, tax appeals) and multi-year cycles (roofs, parking lots, elevators, leases).

Great managers are defined by what never happens: the lease that never lapsed unnoticed, the vendor contract that never auto-renewed at a bad rate, the small roof leak that never became a tenant claim. That is why platforms obsess over records and alerts — management quality is mostly the discipline of noticing on time.
