Maintenance and work orders
Maintenance splits into reactive (something broke), preventative (scheduled service that keeps it from breaking) and inspection (looking on a schedule). The work order is the unit of record: what, where, who, when, cost, and the photo or note that proves it. Complete work orders turn a building's history into data.
Patterns are the payoff. Four repairs on one rooftop unit in eighteen months is not four events — it is one signal that replacement likely beats repair, especially on equipment past its expected life. Recurring after-hours calls in one suite, repeated leaks on one roof section, the same door failing — pattern recognition converts maintenance spend into capital-planning input.
Preventative programs (filters, belts, coil cleaning, flow tests) cost little and are the difference between a 15-year and a 22-year compressor life. Skipping PM to save money is borrowing from the capital budget at a terrible interest rate.
